We collect information you provide directly when creating an account, configuring your booking page, or contacting our support team. This includes your name, email address, business name, phone number, and payment details.

When clients book appointments through your BookAutomate page, we collect their name, email, phone number, and any information submitted through custom intake forms you configure.

We automatically collect usage data including IP addresses, browser type, device information, pages visited, and interaction patterns to improve our service and troubleshoot issues.

2. How We Use Your Information

We use your information to provide, maintain, and improve the BookAutomate platform, including processing bookings, sending appointment reminders, and facilitating payments between you and your clients.

We may use your email address to send service-related communications such as account notifications, security alerts, and product updates. You can opt out of non-essential communications at any time.

We analyze aggregated, anonymized usage data to understand how our platform is used and to inform product development decisions.

3. Information Sharing

We do not sell your personal information to third parties. We share information only in the following circumstances:

With payment processors (such as Stripe, Square, and PayPal) to facilitate transactions between you and your clients. These providers have their own privacy policies governing their use of your data.

With service providers who assist us in operating our platform, such as cloud hosting (AWS), email delivery, and analytics services. These providers are contractually obligated to protect your data.

When required by law, such as in response to a subpoena, court order, or government request, or to protect the rights, safety, or property of BookAutomate, our users, or the public.

4. Cookies and Tracking

We use essential cookies to maintain your session and remember your preferences. These are necessary for the platform to function correctly.

We use analytics cookies to understand how visitors interact with our marketing site and platform. You can disable non-essential cookies through your browser settings.

Our embeddable booking widgets use minimal cookies required for functionality and do not track users across other websites.

5. Data Retention

We retain your account data for as long as your account is active. If you close your account, we will delete your personal information within 30 days, except where retention is required by law or for legitimate business purposes such as resolving disputes.

Booking records and transaction history are retained for 7 years to comply with financial reporting requirements.

Anonymized, aggregated data that cannot be used to identify you may be retained indefinitely for analytics purposes.

6. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS 1.3) and at rest (AES-256), regular security audits, and access controls.

Payment information is processed by PCI-DSS compliant payment processors and is never stored on our servers.

We maintain incident response procedures and will notify affected users within 72 hours of discovering a data breach that may compromise personal information.

7. Your Rights

You have the right to access, correct, or delete your personal information at any time through your account settings or by contacting our support team.

You may request a portable copy of your data in a machine-readable format. We will fulfill such requests within 30 days.

If you are located in the European Economic Area, you have additional rights under GDPR including the right to restrict processing and the right to object to processing based on legitimate interests.

California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to opt out of the sale of personal information.

8. Children's Privacy

BookAutomate is not directed to children under 13 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 13, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. We will notify you of material changes by email or through a notice on our platform at least 30 days before the changes take effect.
